Destination Wedding Photo Delivery Across Time Zones

After a destination wedding, the couple, their families and the guests go home to different countries. The delivery is one link that opens anywhere, on any phone, at any hour, starting with a sneak peek and growing into the full set.

Updated 24 September 2026

A destination wedding ends with everyone leaving.

The couple may stay on for a honeymoon. The families fly back to one country, the friends to several others. Some of them are asleep when you send your message.

None of them can walk over to a laptop and ask you how the gallery works.

So the delivery has three jobs: a link that works for everyone wherever they are, a gallery that reads well on the phone they carry, and a first look soon after the day while the full set is being edited.

This guide covers that setup on clientgallery.io. If the wedding was an elopement with few or no guests, the sharing problem is different, and the elopement delivery guide fits better.

What changes when the wedding was abroad

Compare the audience of a wedding held near home with one held abroad.

One link that opens anywhere, at any hour

A clientgallery.io gallery is a web page on your studio subdomain. Nobody installs an app and nobody creates an account to view it.

The page carries your studio name and logo, with no platform branding.

A gallery password, if you set one, covers the whole gallery, every section included, and the ZIP download too. The couple forwards the link and the password together.

A web link does not care about time zones. A guest who opens it at 7 a.m. in one country sees exactly what a guest sees at midnight in another.

The one thing that does care about time zones is your message. Send it when the couple is awake, and write it so they can forward it unchanged to their families.

A gallery that works on a phone

Guests may open the link on a phone first.

The client page lays photos out in two columns on a phone screen, three on a tablet-sized screen and four on a wide one.

Tapping a photo opens it full screen, one photo at a time.

When the gallery has sections, the jump-to bar at the top lists each one with its photo count, so a guest can go straight to the ceremony without scrolling past the welcome dinner.

If you switch it on for the gallery, a “Share this gallery” button opens the phone's share sheet, so the couple can pass the link on by message. Where the browser has no share sheet, the button copies the link instead.

The sneak peek first, the full set on the same link

A destination wedding takes longer to edit than to fly home from. A first look keeps the couple and the families going in the meantime.

  1. Create the wedding gallery with only the peek photos. Leave them outside any section, so they sit at the top, listed as Highlights in the jump-to bar, once the full set arrives.
  2. Switch picks off while it is only a peek. Picks and downloads are separate switches, so the couple can save the peek photos without starting a selection.
  3. Write the welcome note for the peek stage. It appears under the gallery title. Say that the full set will arrive on this same link.
  4. Send the link. This is the link everyone keeps.
  5. Add the full set to the same gallery when it is edited, in sections by event. The link does not change.
  6. Update the welcome note and tell the couple. Your message is how they learn the full set is in.

Other ways to run a peek, including a separate peek gallery, are compared in the sneak peek guide.

Sections for a wedding that lasted several days

Sections are a studio-side organising tool. The client sees one scrolling page, with each section under its own heading.

SectionWhat goes in it
No section (shown as Highlights)The sneak peek photos
Welcome eveningThe first gathering, arrivals, the location
Getting readyBoth sides, details, family moments
CeremonyThe ceremony and the family formals
PortraitsThe couple on location
ReceptionDinner, speeches, dancing
Day afterA brunch, a beach session, the goodbyes

Every photo in every section counts toward the fair-use ceiling of 1,000 photos per gallery.

Each section also has its own share link. That page is view-only: no ZIP, no picks, no full-resolution download and no link back to the full gallery. It suits a guest group that should see the reception and nothing else.

The wider structure of a wedding gallery, including the album selection round, is in the wedding proofing gallery guide.

The full-resolution window and the honeymoon

The hosted photos, and the “Download all photos” ZIP, are proofs sized for fast viewing on screens. They suit phones, messages and digital frames.

Print-ready files travel separately. On a paid account you attach a full-resolution ZIP to the gallery. The couple sees its own button, with the number of days it stays available.

That ZIP stays live for 3 days per upload. Three days is short if the couple is on a boat or a mountain with poor signal.

Time the upload to the couple, not to your editing calendar.

SituationWhat to do
The couple is still travellingDeliver the proofs gallery now, and hold the full-resolution ZIP until they are home
The couple is homeUpload the ZIP and ask them to save it to their own drive that week
They missed the 3 daysUpload the ZIP again to the same gallery; the window restarts and the link stays the same

The account holds 100 GB of standing full-resolution ZIPs across all galleries at once.

Guests who want only their own photos

At a wedding with guests from several countries, many of them want the few photos they appear in, not the whole day.

Face Search is included on the plan. It is off by default and you switch it on per gallery.

A guest chooses a selfie, and matching runs entirely in their own browser. The selfie is never uploaded. The face index sits behind the gallery password.

The full setup, and what to tell guests, is in the guide to guests finding their photos with a selfie.

A link that still works at the first anniversary

Families who live far apart come back to wedding photos at anniversaries, births and reunions.

Hosted galleries on clientgallery.io do not expire. The gallery stays up for as long as your account exists, unless you revoke or delete it.

The full-resolution ZIP is the one time-limited part, which is why the couple should save it when it arrives. More on this is in the answer on a gallery link that never expires.

To check whether the couple has opened the gallery at all, look at the opened indicator on its tile in your studio. The filters All, Seen by client and Not opened yet sort every gallery by it.

When you should use something else

  • clientgallery.io has no print store and takes no commissions. If your business earns its margin when relatives order prints and albums from inside the gallery, stay on a platform with a store, such as Pixieset or Pic-Time.
  • It hosts JPEGs and does not warehouse RAW files or master video. Deliver the wedding film through your usual video channel.
  • There is no seat model. A lead and a second shooter share one account; there are no separate logins.

This page states no external figure and no statistic about destination weddings. Every number on it is a clientgallery.io product fact, checked against the product code on 24 September 2026: the plan prices, the free account allowance, the fair-use ceilings of 1,000 photos per gallery and 250 GB per paid account, the 3-day full-resolution ZIP with 100 GB of standing ZIPs, the absence of gallery expiry, the photo column layout, the section layout with its jump-to bar and Highlights label, the view-only section link, the share button, the password check on the ZIP, and the Face Search behaviour.

Pixieset and Pic-Time are named only as examples of platforms with a built-in print store; no figure about them is stated.

Frequently asked

How do I deliver destination wedding photos to guests in different countries?

Send the couple one gallery link and its password, timed for when they are awake, and ask them to forward it. The gallery is a web page on your subdomain, so guests open it anywhere, on any device, with no account and no app.

Should I send a sneak peek from a destination wedding?

It helps while the full set is edited. Create the wedding gallery with only the peek photos and picks off, then add the full set to the same gallery in sections. The link does not change, so nobody has to switch links.

Does the gallery work on a phone?

Yes. Photos lay out in two columns on a phone, three on a tablet-sized screen and four on a wide one. Tapping a photo opens it full screen, and a jump-to bar takes guests straight to a section.

What if the couple is on their honeymoon when the files are ready?

Deliver the proofs gallery, and hold the full-resolution ZIP until they are home, because it stays live for 3 days per upload. If they miss it, upload it again to the same gallery; the window restarts and the link stays the same.

Will the gallery link expire?

No. Hosted galleries do not expire and stay up while your account exists, unless you revoke or delete them. Only the full-resolution ZIP is time-limited.

Can guests find only the photos they appear in?

Yes, if you switch Face Search on for the gallery. It is off by default. Matching runs in the guest's own browser, the selfie is never uploaded, and the face index sits behind the gallery password.
