How to Deliver Newborn Photos to Clients
The handoff is one password-protected link. Parents forward it, grandparents open it without an account, and anyone with the password downloads the whole gallery in one click.
Updated 16 September 2026
A newborn gallery tends to travel far beyond the parents.
The parents open it first.
Soon it may reach both sets of grandparents, a few aunts, and a great-grandmother on a tablet.
Some of those people will not want to create an account for anything.
So the delivery has one job: a single link that survives being forwarded, opens without a login, and hands over every photo in one click.
This guide covers that handoff only. If you still need the parents to choose their favourites first, that is a different step, covered in the newborn proofing gallery guide.
What a newborn delivery has to do
The finished photos are ready, retouched and approved.
Delivery is now a distribution problem, not a design problem.
Parents of a two-week-old are tired, and they read your email on a phone at 3 a.m.
Every extra step you add (a sign-up, an app, a separate download page) is a step that someone in the family will fail.
The delivery needs five things.
- One link that works for every relative the parents choose to send it to.
- A password, because these are photos of an infant in a private home.
- No account and no app for the people opening it.
- A download of the whole gallery in one click, plus any single photo.
- A link that still works when the child turns ten.
Step by step: the newborn handoff
- Create the gallery under your own name. On clientgallery.io it lives on your studio subdomain, and the page header shows your studio name and logo with no platform branding.
- Upload the final edits, not the proofs round. If you proofed first, you can either switch that same gallery over to delivery, or deliver in a fresh gallery that holds only the finals, so the family never scrolls past proofs on the keepsake page.
- Group the set into sections if it helps. For example: baby alone, with parents, with siblings, details. The family sees one scrolling page with a jump-to bar at the top that shows how many photos each section holds.
- Switch picks off. Picking and downloading are separate switches. With picks off, the page opens with a line telling the family their photos are ready, instead of asking them to choose.
- Leave downloads on. That shows a “Download all photos” button and a download button on each photo.
- Set a gallery password. The password covers the whole gallery, every section included.
- Write a short welcome note. It appears under the gallery title. Use it to say who may receive the link and how to save the photos.
- Add the full-resolution file if the package includes print-ready files. See the section below on what the one-click download contains.
- Send the parents the link and the password in the same message. They will forward that message as it is, so write it for the grandparents too.
Why the grandparents need nothing but the link
The client page is a public web page behind an optional password.
Nobody installs anything and nobody logs in.
A grandparent taps the forwarded link, types the password once, and sees the gallery.
The page works on a phone, and each viewer can switch it between light and dark; the choice is remembered for that gallery.
For a relative who wants to watch rather than download, there is a full-screen slideshow that advances on its own and loops. A tap or the Escape key ends it.
The details of what the password protects, and what it cannot protect, are in the password guide.
What the one-click download actually contains
There are two different downloads, and newborn clients should know which is which.
The “Download all photos” button gives a ZIP of every hosted photo in the gallery.
Those hosted photos are sized for fast viewing on screens. They are right for phones, family chats and digital frames.
They are not the file to send to a lab for a large canvas.
For print-ready files, a paid account can attach a full-resolution ZIP to the gallery.
The family sees a separate button for it, with a line saying how many more days it stays available.
That file stays live for 3 days per handoff, and you can upload it again at any time, which restarts the clock.
When a client opens the full-resolution ZIP, the iPhone app can send you a push notification, so you know the parents actually saved it.
More on the proof ZIP itself is in the download-all answer.
| Download | What it holds | How long it is available | Plan |
|---|---|---|---|
| Download all photos | Every hosted photo, sized for screens | As long as the gallery exists | Free and paid |
| Single photo | One hosted photo | As long as the gallery exists | Free and paid |
| Full-resolution ZIP | The ZIP of final files you upload | 3 days per upload, re-uploadable any time | Paid only, 100 GB of standing ZIPs per account |
One point on the download switch: turning it off hides the “Download all photos” button and the per-photo buttons, but a live full-resolution ZIP still shows its own button.
If you want no downloads at all, do not attach a full-resolution ZIP yet.
Privacy for a newborn gallery
A password stops strangers and search engines.
It does not stop a parent from forwarding the link and the password, and for a newborn delivery that is the point.
There are no per-viewer logins, so you cannot see which relative opened the gallery.
What you can see is whether the gallery has been opened at all: each gallery tile in the studio carries an opened indicator, and you can filter to galleries not opened yet.
If a link ends up somewhere it should not, you can revoke the gallery and the page goes dark.
Deleting a gallery is permanent, so revoke first if you only need the link to stop working.
Say in the welcome note who the family may share with. That sets the expectation more clearly than any setting.
If you would rather send a subset, for example only the family portraits, a section has its own share link. That link is view-only: no download buttons, no ZIP, and no way back to the full gallery.
Use a section link for relatives who should look, and the main gallery link for relatives who should save.
Keeping the link alive for years
Newborn photos get reopened at the first birthday, at a christening, and at a graduation slideshow.
On clientgallery.io, hosted galleries do not expire.
The gallery stays up for as long as your account exists, unless you revoke or delete it.
The full-resolution ZIP is the exception: it is a 3-day handoff, so tell parents to save it to their own drive when it arrives.
The service hosts JPEGs. It does not keep your RAW files or your masters, so keep those on your own drives and backups.
The numbers
| Item | Figure |
|---|---|
| Paid plan | $10 a month, or $100 a year (8.33 a month) |
| Free account | 1 gallery, 5 GB |
| Photos per gallery (fair use) | 1,000 |
| Hosted photos per paid account (fair use) | 250 GB |
| Full-resolution ZIP lifetime | 3 days per upload |
| Standing full-resolution ZIPs per account | 100 GB |
| Gallery expiry | None |
| Accounts needed by the family | 0 |
When you should use something else
Some newborn studios earn their margin on wall art, albums and framed prints, not on files.
clientgallery.io has no print store and takes no commissions.
If your business depends on grandparents ordering canvases through a print lab from inside the gallery, stay on a platform with a store built in, such as Pixieset or Pic-Time.
Also consider whether in-person sales suit you better: a reveal appointment sells wall art in a way a download link does not.
clientgallery.io fits the studio that sells a digital collection, prices it up front, and wants the delivery to be the simplest part of the job.
You can paste your own payment link and attach an invoice to the gallery, but releasing downloads after payment is a switch you flip yourself.
For a broader look at sharing one session with many relatives, see the family session gallery guide.

This page states no external figure. Every number on it is a clientgallery.io product fact, checked against the product code on 16 September 2026: the plan prices, the free account limits, the fair-use ceilings of 1,000 photos per gallery and 250 GB per paid account, the 3-day full-resolution ZIP with 100 GB of standing ZIPs, and the absence of gallery expiry.
Pixieset and Pic-Time are named only as examples of platforms with a built-in print store; no figure about them is stated.
Frequently asked
How do I send newborn photos to parents?
Send one gallery link and its password in a single message. The parents open it on any phone or computer with no account, and download every photo with one click or any single photo on its own.
Can grandparents open the gallery without an account?
Yes. The client page is a web page behind an optional password. Anyone the parents forward the link and password to can open it without installing anything or logging in.
Are the one-click downloads print quality?
The Download all photos button gives the hosted photos, which are sized for screens and sharing. For print-ready files, a paid account attaches a full-resolution ZIP that stays live for 3 days per upload and can be uploaded again at any time.
Will the newborn gallery link expire?
Hosted galleries on clientgallery.io do not expire. The gallery stays up while your account exists unless you revoke or delete it. Only the full-resolution ZIP is time-limited, at 3 days per upload.
Can I share only some of the newborn photos with extended family?
Yes. Each section of a gallery has its own share link that shows only that section. It is view-only, with no download buttons and no link back to the full gallery.
Should a newborn studio that sells wall art use clientgallery.io?
Probably not as its main gallery. clientgallery.io has no print store. A studio that earns its margin on canvases and albums ordered through a print lab should stay on a platform with a store built in.
Do I need a separate gallery for proofing and delivery?
Not necessarily. Picks and downloads are separate switches, so the proofing gallery can become the delivery gallery on the same link. A fresh gallery with only the finals and picks switched off helps when you do not want the family scrolling past proofs.
