Styled Shoot Photo Sharing: A View-Only Link for Each Vendor
A styled shoot has a dozen credited vendors and one set of images. The sharing works when the credit list and the embargo date are written once, and each vendor gets a link to their own frames and nothing more.

A styled shoot is a collaboration that everyone joined for the images.
The florist, the planner, the stationer, the dress designer, the models and the venue all gave time or product, and all of them expect to post the result.
That makes the sharing harder than a normal wedding delivery, not easier.
There is no single client to approve things, the credit list is long, and one vendor posting early can undo a plan the rest of the team agreed to.

Why a styled shoot is its own sharing problem
At a real wedding, the couple owns the day and approves what goes out.
At a styled shoot, the photographer usually organises the team and holds the images, so the photographer also carries the sharing decisions.
Three things tend to go wrong when those decisions are left open.
- Credit drifts. The vendor who posts first tags the people they remember, and the stationer or the hair artist drops off every repost after that.
- Timing breaks. If the team planned a submission or a coordinated release, one early post changes the plan for everyone.
- The wrong images travel. A vendor given the whole set posts a frame where their contribution is out of focus, or a model's outtake.
None of those is a software problem first. Each one is a missing agreement, and the sharing setup only carries out what was agreed.
Agree the terms in writing before the shoot
Put the sharing terms in the message that confirms each vendor's place on the team.
Doing it before the shoot matters because afterwards everyone already wants the images, and nobody wants to negotiate.
A short written note covers it. It answers these questions:
- What each vendor receives. A curated set of their own work, not the whole shoot.
- The embargo date. The day and time before which nobody posts.
- The credit rule. Every post credits the full team, using the credit list you will send, not only the photographer.
- Where the images may be used. Social posts and the vendor's own portfolio, for example, and what needs a separate conversation, such as paid advertising.
- What may not be changed. Crops that remove other vendors' work, filters, logo overlays.
- The models. What the models agreed to, in their own written agreement with you, and whether vendors may tag them.

Build the credit list once
The credit list is the single most useful thing you send.
Collect it at booking, check every spelling and handle with the vendor, and send the same list to everyone.

The last column is the plan for the gallery, which the next section builds.
Set up one gallery with a section per vendor
On clientgallery.io, publish the styled shoot as its own gallery, separate from any client work.
Inside it, create a section for each vendor and file their frames into it. Sections are a studio-side organising tool. Anyone who opens the main gallery link sees one scrolling page with a jump-to bar at the top.
Each section also has its own standalone share link. That link is what each vendor receives.
Three details are worth knowing before you send anything, all checked in the product code on 24 September 2026.
- The welcome note shows on every section link. Put the credit list and the embargo date in the gallery's welcome note, and every vendor sees the same terms above their own images.
- The gallery password covers the section links too. If the gallery has a password, a vendor opening their section link is asked for it. Send it with the link.
- The section page is titled with the section name. Name sections the way the vendor will recognise them, such as "Florals", not a code.
A photo filed in a section still counts toward the gallery's fair-use ceiling of 1,000 photos. A styled shoot rarely comes close.
What a vendor's section link does and does not do
The section link is view-only. That is the property that makes it right for a styled shoot: a vendor sees their own frames and cannot use the link to pull the whole set.

Two honest limits. View-only means no files, so a vendor who needs a file to post needs a second route from you, covered below. And no link stops someone from saving what is on their screen. The written terms do that work, not the page.
Running the embargo
An embargo is a date everyone agreed to in writing. The gallery supports it, but does not enforce it.
There are two workable ways to run it.
- Send on the day. Hold every section link until the embargo lifts, then send them all within the same hour. Nobody can post early what they do not have yet.
- Send early for planning. Send the links ahead so vendors can draft their posts, with the embargo date written in the welcome note above their images and repeated in your email.
The first is safer. The second is kinder to vendors who schedule their feeds weeks ahead. Choose per team.
If the plan collapses, you have one lever that covers everyone: revoking the gallery stops the main link and every section link at once. Everything about the gallery is kept, so nothing is lost while you sort it out.

When a vendor needs files, not a link
Most vendors want to post, and posting needs a file.
The section link is for looking. Use it to let each vendor see their set and say which frames they want. Then hand over the files through a route you control.
- Send the chosen files directly. Simple, and nothing extra goes out.
- Publish a small gallery per vendor with downloads switched on.There is no per-gallery fee on the $10 a month or $100 a year plan, so a ten-vendor shoot can have ten download galleries at no extra cost.
Do not send a vendor the main gallery link with downloads on. That hands every vendor every frame, which is the thing the section links were set up to avoid.
Hosted gallery photos are proofs sized for fast viewing, which suits social posts. A vendor who wants print or a magazine submission needs the full-resolution file, which is a separate handoff. The mechanics are in sending full-resolution photos to clients.
