Client Gallery Software With Multiple Users: How Team Seats Work

clientgallery.io is one flat price for the studio, with optional team seats at $8 a month or $88 a year per person, on any plan, free included. Each seat is a separate login into the same studio. There are no roles, so read the limits before you invite anyone.

Updated 30 September 2026

The short answer: yes, several people can work in one clientgallery.io studio, each with their own login.

The studio pays one flat price for its plan. Extra people are optional team seats at $8 a month or $88 a year each. Seats work on the free plan and on the paid plan.

The reason seats exist is simple. Sharing the owner's password with an editor or a second shooter means one set of credentials in several hands, and no clean way to take access back. A seat gives that person their own login, and the owner can remove it.

What a seat does not give you is roles. Every member works in the whole studio. This page sets out exactly what a member can and cannot do, as the product code does it on 30 September 2026, and says when another platform is the better fit.

What it costs

The owner's plan and the seats are billed separately. The owner never needs a seat. Each additional person needs one.

StudioMonthlyYearly
Owner alone, paid plan$10$110
Owner on the free plan, plus 1 seat$8$88
Owner on the paid plan, plus 1 seat (2 people)$18$198
Owner on the paid plan, plus 2 seats (3 people)$26$286
Owner on the paid plan, plus 4 seats (5 people)$42$462

Seats add people, never galleries. A free studio holds one gallery of up to 1,000 photos whether it has one person in it or five. The paid plan is what adds unlimited galleries and room for up to 500,000 photos.

Every feature is on every plan, so a seat never unlocks a feature either. It only adds a login. The full plan breakdown is in clientgallery.io pricing.

How a seat is added

The owner does all of it from the Team page in the studio.

  1. Buy a seat, monthly or yearly. The Team page shows seats bought, in use and open.
  2. Type the person's email address and send the invite. The product emails them the invitation.
  3. The person signs in or creates an account with that same email address and accepts. An invite is a grant to that address, so someone who opens the link from a different account is refused.
  4. The seat shows as Active on the Team page.

A pending invite already uses a seat. If every seat is taken, the invite form asks you to add a seat first.

A person can hold one seat at a time. Accepting an invite to a second studio releases the first one.

What a member can do

A member signs in with their own login and lands in the owner's studio. They see the same galleries and work on them exactly as the owner does.

AreaA member
GalleriesCreates galleries, uploads photos, deletes photos, renames galleries, reopens picks
Gallery settingsSets passwords, welcome notes, themes, Face Search and the other per-gallery switches
Proofing roundMarks comments done and photos retouched
Studio brandEdits the logo, colours, typefaces and the studio address
Lightroom Classic plugin and iPhone appUses their own studio key, which works in the owner's studio while the seat is active
Team pageSees which studio they are in, and can leave it

The own-key point matters for a retoucher. They publish from their own Lightroom Classic catalog with the two-way plugin into your galleries, and pull client picks back into their catalog, without ever holding your key. The workflow itself is in getting client picks back into Lightroom.

What a member cannot do

  • Manage seats. Inviting and removing people is keyed on the real signed-in person, and only the owner can invite.
  • Manage billing. The owner manages seats and billing. A member's billing link reaches their own account, not the owner's.
  • Have a narrower role. There are no roles and no per-gallery permissions. A member cannot be limited to some galleries, kept away from the brand settings, or made view-only.
  • See their own studio at the same time. While the seat is active, their login opens your studio. A second shooter who runs their own clientgallery.io studio would lose sight of it until they leave your team.

The no-roles point is the one to weigh. Anyone you give a seat to can change or remove work in every gallery in the studio. Give seats to people you would trust with the whole studio, and nobody else.

Removing a seat

The owner clicks Remove next to the person on the Team page. Access is checked on every request, so the next thing that person tries in the studio, in the plugin or in the app, no longer reaches your galleries.

Access also closes if the studio no longer holds any paid seats, for example when the seat subscription is cancelled or lapses.

Nothing a member did is undone when they leave. The galleries belong to the studio, not to the person who created them.

Who needs a seat, and who does not

PersonSeat?Why
A studio partner or spouse who publishes galleriesYesTheir own login instead of your password
An in-house editor or retoucherYesPublishes from their own catalog with their own key
A contract second shooterUsually notThey hand files to the lead, who publishes one gallery
A business partner delivering their own clientsNoTwo businesses are cleaner as two accounts
A client, vendor or venueNoThey open a gallery link and never sign in

The second-shooter row surprises people. A contractor on one wedding rarely needs the run of your whole studio, and without roles that is what a seat gives. The handoff that works without a login is in the second shooter photo handoff, and the editing half is in two photographers, one client gallery.

How three incumbents describe multiple users

This table only records what each company's own pages said when fetched on 30 September 2026. Where a page says nothing about extra users, the table says so rather than guessing.

PlatformWhat its own pages state
ShootProofThe plans page lists Multiple user access on all five plans and shows no per-user price. A help article says the owner can add users and set view, add and edit permissions, and that users can be limited to galleries they created after contacting support. A second help article, updated 21 September 2026, says the Free plan does not include multiple account users, which disagrees with the plans page.
PixiesetThe pricing page names no team seat, extra user or per-user price. A help centre search for adding team members returned no article describing it.
Pic-TimeThe pricing page names no team seat, extra user or per-user price.
clientgallery.ioOne flat price; optional team seats at $8 a month or $88 a year each, on any plan. No roles or per-person permissions.

Read that honestly. If your studio needs per-person permissions, such as a photographer who may only see their own galleries, ShootProof documents that and we do not. Stay with it. If you need several trusted people in one studio at a price you can predict, seats here do that.

Frequently asked

How much does an extra user cost on clientgallery.io?

$8 a month or $88 a year per seat. The owner does not need a seat. Seats work on the free plan and on the paid plan, which is $10 a month or $110 a year.

Can I give an assistant access to only some galleries?

No. There are no roles and no per-gallery permissions. A member works in the whole studio, including brand settings. If you need per-person limits, a platform that documents user permissions, such as ShootProof, is the better fit.

Can a team member see my billing?

No. The owner manages seats and billing. A member cannot invite or remove people, and their billing link reaches only their own account.

Do seats give a free account more galleries?

No. Seats add people, never galleries. A free studio holds one gallery of up to 1,000 photos however many seats it has. The paid plan adds unlimited galleries.

Can my retoucher use the Lightroom plugin with their own login?

Yes. A member uses their own studio key in the Lightroom Classic plugin and the iPhone app, and while their seat is active that key works in your studio. Remove the seat and the key stops reaching your galleries.

Does my second shooter need a seat?

Usually not. A seat opens your whole studio. Most leads have the second shooter hand over files and publish one gallery themselves, which needs no login at all.
