Actor Headshot Selection With an Agent: Who Presses Send
The actor forwards the gallery link and the agent weighs in. Both are working on the same picks, and every note carries one name, so settle the roles before the first tap.

Many actors do not choose their headshots alone. An agent or manager often has a say, sometimes the final word, on which frames go out to casting. The actor still wants a say, and the photographer wants one clean list back.
The easy part is access. The actor forwards the gallery link, with the password if there is one, and the agent opens it. Nobody installs anything and nobody creates a login.
The part that catches people out is that a gallery has no idea who is looking at it. On clientgallery.io, everyone with the link edits one shared set of picks. Every note is signed with the client name set on the gallery, whoever wrote it. And whoever presses Send my picks locks the selection for everyone.

What the agent actually sees when the link is forwarded
The agent sees exactly what the actor sees. There is no separate agent view and no reduced permission level. clientgallery.io has no seat model and no per-viewer logins, so the link itself is the access.
The page carries the photographer’s studio name and logo, with no platform branding. The agent can switch the page to light or dark, and that choice is remembered for the gallery on that device.
If the photographer grouped the shoot into sections, for example by look or wardrobe change, the agent scrolls one page with a jump-to bar at the top. Each section in that bar shows its photo count.
One trap is worth knowing. A section can also be shared on its own link, and that page is view-only. It has no picks, no comments and no labels. If the agent is meant to choose, send the full gallery link, not a section link.
One shared set of picks, not two lists
Picks come in two levels. A star is the first level and a love is the second. The actor and the agent are marking the same photos in the same set.
If the actor stars a frame and the agent later loves it, the photo is now a love. If the agent clears a star the actor set, it is gone for both of them. There is no record of who marked what.
Changes are not live between two open screens. The other person’s marks appear only when the page is reloaded. If both are choosing at the same time on a call, reload before you discuss.
Picks are made in the full-screen view. The client uses the star and heart buttons there, or taps the photo once to star it and twice to love it. The grid shows a badge on picked photos but does not take picks directly.

A split that works: the actor stars, the agent loves
Because there are two levels, the two roles can own one level each. The actor goes first and stars every frame they would be happy to use. The agent goes second, reviews the starred frames, and upgrades the ones that should be retouched to a love.
This keeps the actor’s shortlist visible to the agent. It also means the loved photos are the final selects, and the starred ones are the runners up. The photographer reads the answer straight off the two levels.

Put this split in the email that carries the link. A short paragraph is enough, and it saves a reopened gallery later.
Every note carries one name
Comments are off by default and switched on per gallery. When they are on, the client can leave a note on a photo and can draw on the photo to point at a stray hair or a crease. A note can be a drawing alone.
The page never asks who is writing. Each note is signed with the client name set on the gallery, or “Client” when no name is set. So a note from the agent and a note from the actor carry the same signature.
Two habits fix this. First, the photographer sets a client name that covers both, such as the actor’s name plus “and agent”. The client name lives in the gallery’s Pro proofing settings. Second, the agent starts each note with initials, so “AG: go with the lighter jacket” reads clearly to everyone.
The photographer gets an email when notes arrive, at most one per gallery every 15 minutes. Replies from the studio are tagged as coming from the photographer. More on the note thread itself is in the proofing gallery with photo comments guide.
Colour labels are also off by default. Each photo holds one label, shared by everyone with the link, and tapping the current colour clears it. If you use labels, give them to one person only, or they will overwrite each other.
Who presses Send my picks, and why it matters
Send my picks sits in the tray at the bottom of the page. It also replaces the Next button on the last photo in the full-screen view. The confirm box asks for a name and an email and warns that sending locks the picks.
Three things happen when someone confirms. The picks lock for every viewer, and further star or love changes are refused. The studio is notified by email with the loved and starred counts, in the studio’s event feed, and by iPhone push if picks notifications are on. And the name and email typed in the box replace the client name and email stored on the gallery.
That last point is the reason to agree on a sender. If the agent sends and types the agency’s name, later notes are signed with that name, not the actor’s. If the actor sends early, the agent opens the gallery and finds the star and heart buttons gone and the tray missing.
When the agent makes the final call, the agent is the natural sender. The actor can send instead if that is how the team works. What matters is that exactly one person does it, after the other has finished.
Locking picks does not lock everything. Notes and colour labels keep working after the picks are sent, so the agent can still flag a retouch.
When someone sends too early
The photographer can press Reopen picking on the gallery. That unlocks the selection and keeps every pick already made. The tray comes back on the next page load.
The client is not notified. The photographer has to tell the actor and agent that the gallery is open again. When the corrected picks are sent, the studio is emailed a second time.

After the picks: retouching and delivery
On the studio side, the photographer can export the picks as a text file with one filename per line. Loved photos come first, then starred ones, and nothing in the file marks which is which. The Lightroom Classic plugin carries the levels properly, as the table shows.

As retouching progresses, the photographer flags each finished photo on the retouch round page. The actor and agent then see a green badge on those photos and a progress line counting how many picks are retouched. A note marked done shows its own Retouched chip, which is a separate thing from the photo badge.
The full-screen view shows each photo’s filename, and so does the note panel. That gives the agent an exact reference when talking to the photographer by email.
Finished files can go out as a full-resolution ZIP on a paid plan. The link stays live for a set window and can be uploaded again when a late retouch lands. Be aware that switching downloads off hides the proof downloads but not a live full-resolution ZIP.

Can an actor forward a headshot gallery to their agent?
Yes. The actor forwards the link and the password if one is set. The agent opens it in a browser with no app and no login, and has exactly the same controls as the actor.
Do the actor and the agent get separate lists of picks?

Should I send the agent a section link to save time?
Not if the agent is choosing. A section link is view-only, with no picks, notes or labels. Send the full gallery link and let the agent use the jump-to bar.
