How to Deliver Concert Photos to a Band
Build one gallery per show, send one link to the band and its manager, write the usage terms on the page itself, and let the picks decide what gets cropped for social and what goes to press at full resolution.

A band wants its photos while the show is still being talked about.
The manager wants them too, and so do the four or five people in the group chat.
Then a blog, a promoter or a magazine asks for a file big enough to print.
Sending loose files into that chat loses track of which frames were approved and on what terms.
This guide sets out a delivery that holds up: one gallery per show, one link, one set of picks, and the terms written where everyone reads them.
It covers the handoff after the show, not the shooting.
The shape of a concert delivery
A live music set has more readers than a portrait session, and they want different things.

Everything below serves that table.
Step by step: the post-show handoff
- Cull and edit the selects the same night if you can. The sooner the band has the photos, the sooner it can post them. The gallery side is fast; your edit sets the turnaround.
- Create one gallery for this show. Name it with the band, the venue and the date. On clientgallery.io it lives on your studio subdomain, with your name and logo and no platform branding.
- Upload the edited JPEGs. Use the web uploader, or publish from Lightroom Classic with the two-way plugin. Browser uploads are resized into proofs sized for fast viewing.
- Set the page to dark if it suits the work. Each gallery has its own light or dark setting, and each viewer can flip it on their own device.
- Write the welcome note. Put the usage terms, the credit line and the name of the person who sends picks in it. A template follows below.
- Switch on Picks and Social crops, and set a password. Decide on Downloads now too; the section on terms explains why.
- Send the link and the password to the manager and the band in one message. Say who presses Send my picks.
- When picks arrive, finish those frames and attach the full-resolution ZIP. That is the file for press.
New photos can be added to a gallery after it is shared, and the link does not change. The band is not notified when photos are added, so tell them yourself.
One gallery per show, not one per tour
A show is a natural unit. It has one venue, one date, and usually one set of terms.
A gallery per show keeps its picks, its password and its ZIP apart from the next one.
The paid plan has no gallery count and no per-gallery fee, so twenty tour dates can be twenty galleries.
Inside one show, sections can split the support act, the headliner and backstage.
The band still sees one scrolling page, with a jump-to bar showing how many photos each section holds.
Sections do not add room: every photo counts toward the gallery's 1,000-photo fair-use ceiling.
One link for the band and the manager, and one decider
Everyone with the link sees the same gallery and nobody needs an account.
There is no guest registration and no email step to view.
The part to get right is picking.
Everyone with the link shares one set of picks. In the full-screen view, one tap stars a photo and a double tap loves it.
A star added by the drummer shows up for the manager after the page is reloaded.
When someone presses Send my picks, they enter a name and email, and the selection locks for everyone.
So the first person to press it decides for the whole band.
Name the sender before the link goes out. We suggest the manager, who answers for what goes public. If the band has no manager, ask it to name one member.
A useful split: band members star what they like, and the manager loves the final approved frames and sends.
If picks were sent too early, you can reopen picking. The existing picks stay. The band is not notified, so message them.

Write the usage terms in the welcome note
A gallery link says nothing about rights on its own.
The welcome note appears under the gallery title, so every viewer sees it before the photos.
Put the terms you agreed with the band there, in plain words. What they are is between you and the band; this page is not legal advice.
A welcome note can be as short as this:
- Photos from [band] at [venue], [date].
- [Manager name] sends the picks for the band. Please star what you like; [manager] makes the final choice.
- Use: [the uses you agreed, for example the band's own social accounts and press about this show].
- Not included: [for example merchandise, album artwork or advertising without a separate agreement].
- Credit: [your credit line, exactly as it should appear].
- Press copies: full-resolution files are available for a limited time after picks are approved. Ask me if the window has passed.
Repeat the same terms in the message that carries the link, because the note stays with the gallery and the message stays in the inbox.

The Downloads switch. If downloads are off, the page hides the “Download all photos” button and the button on each photo.
It does not hide the social crops after picks are sent, and it does not hide a live full-resolution ZIP.
The images are also shown from ordinary image addresses, and right-click is not blocked, so a determined viewer can still save a proof.

Social crops for the picked photos
Bands post before they print.
When Social crops is on for the gallery, crop buttons appear after the picks are sent, and only for the picked photos.

The crops are centre crops, made in the viewer's own browser.
A singer at the edge of a wide frame may be cut by a centre crop, so check the approved frames before you promise a tall version of each.
For a frame that needs a custom tall crop, export it yourself and add it to the same gallery.
If your terms do not cover social posting, switch Social crops off for that gallery.
The full-resolution ZIP for press
The proofs in the gallery are sized for screens. They are not the file for a magazine page or a festival poster.
On a paid account, you upload a full-resolution ZIP to the gallery. The band sees a separate button, with the size and the days left.

Build the ZIP from the approved picks only, so press never receives a frame the manager did not clear.
Put a caption and credit text file inside the ZIP, so the terms travel with the files when the manager forwards them.
If a writer asks a week later, upload the ZIP again. The gallery link stays the same.

A press preview without downloads. Each section has its own share link that shows only that section.
That page is view-only: no ZIP, no picks, no full-resolution file, and no link back to the full gallery. The gallery password still applies.
Use it when a promoter should see the headliner set before anything is approved.
Passwords, and what they do not stop
A password up to 60 characters covers the whole gallery.
It is typed once and remembered for 30 days on that browser.
It also gates the whole-gallery ZIP and the full-resolution ZIP.
Gallery pages are marked noindex, so search engines are told not to list them.
A password stops strangers. It does not stop a band member who forwards the link and the password, and for a band that is often the point.
If a link ends up somewhere it should not, revoke the gallery and the page goes dark. Deleting a gallery is permanent.

Watermarks
clientgallery.io applies no watermark to client galleries.
If you want a mark on the proofs, add it with Lightroom Classic's own Watermarking panel at export, or watermark the JPEGs before you upload.
Remember that the social crops are made from the gallery images, so a watermark on the proof ends up in the crop.

Getting the picks back into your catalog
Once picks are sent, you get an email with the counts. The iPhone app can also send you a push notification.
A plain-text list of the picked filenames is also available, for Capture One or any other editor.
In Lightroom Classic, one Plug-in Extras command pulls the picks in: a star becomes 3 stars, and a love becomes 5 stars and a Pick flag.
Matching is by filename, so keep filenames unique across the show before you publish.
In the studio, each gallery tile shows whether the gallery has been opened. There is no per-viewer record of which band member looked.

When you should use something else
If you shoot for an agency or a wire, file through its system. A gallery link is the wrong route.
If a label or publication requires delivery into its own ingest system, use that route.
If the band asks for RAW files, send them another way. The service hosts JPEGs and does not store RAW files or video.
If you sell prints to fans from the gallery, you need a store. clientgallery.io has none and takes no commission; a platform with a built-in store, such as Pixieset or Pic-Time, fits that business better.

How should a concert photographer send photos to a band?

Can every band member pick their own favourites?

When Social crops is switched on for the gallery, the picked photos can be cropped to Story 9:16, Post 4:5, Square 1:1 or Wide 16:9 after the picks are sent. The crops are centre crops made in the viewer's own browser.
How do I give press a print-quality file?
On a paid account, upload a full-resolution ZIP to the gallery. It stays live for 3 days per upload and can be uploaded again at any time without changing the link. The Download all photos button gives the hosted proofs, which are sized for screens, not print.
Does clientgallery.io watermark concert photos?
No. Client galleries carry no watermark from the product. To add one, use Lightroom Classic's own Watermarking panel at export, or watermark the JPEGs before uploading.
Can a promoter preview the set without downloading anything?
