Youth Sports Photo Delivery to Parents: One Gallery and One Password per Team
A league photo day or a season of games ends with photos for many teams and many families. Give each team its own gallery and password, let the coach pass it on, and use the one signal the studio gets: whether each team's gallery has been opened.

Youth sports delivery has a middleman.
You rarely hold every parent’s email address.
The coach, the team manager or the league office does.
So the handoff is usually one message from you to that person, which they forward to the team.
The gallery has to survive being forwarded, open on a phone at the side of a pitch, and keep one team’s photos away from families who have no reason to see them.

Structure: one gallery per team
The first decision is whether a league day becomes one gallery or many.
On clientgallery.io a password belongs to a gallery, and it opens every section inside that gallery.
That settles it for most leagues: one gallery per team.

A league gallery with a section per team still makes sense for a showcase event where every family watched every game, and the league wants one page.

Inside a team gallery: sections
Within a team gallery, sections keep the set tidy.
Sections are a studio-side organising tool.
Parents see one scrolling page with a jump-to bar at the top listing each section and how many photos it holds.
A practical layout for one team:
- No section (appears first as Highlights): the team photo and one or two celebration frames.
- Section: Game action. The action frames from the match.
- Section: Individual portraits. Only if the league has agreed that every family on the team may see every child’s portrait.
- Section per game date. For a season, add each game’s photos to the same team gallery as a new section, so families keep one link all season.
Name sections by what happened, never by a child’s full name.
Check export filenames too: a downloaded photo saves under its filename, so a name in a filename leaves with the file.
Settings for a gallery a whole team opens
Switch picks off. Picks are one shared set for everyone who holds the link, and the first person to press Send my picks locks picking for the whole gallery. On a team gallery with fifteen families that would be first come, first served. With picks off, the page opens with a line saying the photos are ready.
Downloads on, if the package allows it. Downloads are a separate switch. With downloads on, parents see a Download all photos button and a download button on each photo. With downloads off, the gallery is viewing only.
A password per team. Send it in the same message as the link, so the coach forwards both together.
The share button. The page has a Share this gallery button that can be switched off. Hiding it removes the invitation to pass the link around; it does not stop anyone copying the address.
A welcome note. It appears under the gallery title. Put the league’s photo-sharing rule there, and the date by which families should save their photos if you plan to retire the gallery.

The team photo at print size
The one-click download gives the hosted photos, which are sized for fast viewing on phones and screens.
That suits families saving action shots.
It is not the file for a large team banner or a framed team print.
For print files, a paid account can attach a full-resolution ZIP to the gallery. It shows as its own button with the number of days left.

The full-resolution ZIP shows whenever one is live, even with the download switch off. If a team should not have print files yet, do not attach the ZIP yet.
What you can and cannot see afterwards
This is where a gallery per team pays off.
Each gallery tile in the studio carries an opened indicator, and the list filters to All, Seen by client, or Not opened yet.
With one gallery per team, that filter becomes a list of teams whose link has not been opened. That usually means the coach has not forwarded it yet.
What you cannot see:
- Which families opened a gallery. There are no per-viewer logins, and visitors are counted anonymously.
- How many families on one team opened it. The analytics dashboard counts visits, unique visitors, photo views and ZIP downloads across your whole account, not per gallery.
- Where visitors came from. There is no referrer, location or browser breakdown.
Your own visits are excluded from the dashboard counts.

Ending the season
Hosted galleries do not expire. A team gallery stays up while your account exists, unless you revoke or delete it.
Revoking makes the link stop working and keeps everything else about the gallery, so it is the right tool when a season ends or a link reaches the wrong group chat.
Deleting is permanent.
The service hosts JPEGs only. Keep your RAW files and masters on your own drives.

How do I deliver youth sports photos to parents?

Should a whole league share one gallery?
Only if every family may see every team. A gallery's password opens all of its sections, so a section per team is not private from the rest of the league. Separate team galleries cost nothing extra on the paid plan.
Can I see which parents have opened the team gallery?
No. Each gallery shows whether it has been opened at all. The analytics dashboard gives account-wide totals, and visitors are counted anonymously, so you cannot see individual families or a count per team.
Should picks be switched on for a team gallery?

How do families get a print-quality team photo?
Attach a full-resolution ZIP to the team gallery on a paid account. It stays live for 3 days per upload and can be uploaded again at any time. The one-click download gives photos sized for screens.
Can families order prints of their child from the gallery?
No. clientgallery.io has no print store or order form. A studio that sells per-family sports packages should use a platform built for that kind of ordering.
