The complete decision guide

Photo Delivery and Retention Planning for Studios

Keep gallery viewing, temporary downloads and master recovery understandable to the client.

Start here

Choose the right starting point

A proof, a full-resolution delivery file and a camera original are not interchangeable. Each needs an owner, a location and a retention rule. Explain what remains available after a job closes so clients know what to save and how to request another copy.

Inventory a completed job by asset type, then test recovery of one original and download of one final. Set a review date for retained work and keep independent copies appropriate to the business risk. Do not use a gallery thumbnail as evidence that every original is protected.

Worked example, not a benchmark

One thousand files at three assumed sizes

1 MB per file1 GB
25 MB per file25 GB
50 MB per file50 GB

Decimal GB = 1,000 files × assumed MB per file ÷ 1,000. These are planning scenarios, not predictions of a particular camera or archive plan. These are illustrative calculations, not measured customer results or plan limits.

Your evaluation

Turn the trial into a decision

Use the guides below to create an acceptance record for the work you do. Mark each requirement as essential, optional or outside the scope of the service. Test the essential items with your own files before moving an active client project.

Keep a written result for both a successful handoff and a failed one. If an important step needs another tool or a manual process, include that work in the comparison. Choose a paid plan when the verified workflow and current allowances fit your workload.

Product fit

Where clientgallery.io fits

ClientGallery separates client-facing galleries from temporary full-resolution delivery bundles and optional master archive services. Check the current pricing and availability rules before promising a retention period. A gallery subscription is not a complete backup policy.

Make the next step concrete

Test it with one real project.

Check the client handoff, then choose the plan that matches the work you need to deliver.
